2. What we process and why

• Partner account data: email, company name, partner role, VAT ID or company registration number, phone, and optional business documents (PDF). Used to review B2B access and operate your account (contract performance).
• Order and billing data: products, quantities, prices, billing and shipping addresses, order documents (proforma, invoice). Used to fulfil orders and meet statutory bookkeeping duties.
• VAT declaration evidence: if you request the German 0% VAT rate for photovoltaic systems (§ 12 Abs. 3 UStG) at checkout, we record the declaration text version, timestamp, your VAT ID, IP address, and browser user agent as statutory tax-audit evidence (legal obligation).
• VIES validation: VAT IDs you provide are checked against the European Commission’s VIES service; the check result and, where available, the official consultation number are stored as evidence.
• Linker Advisor: when you ask the Advisor a question, your message, the earlier messages of that conversation, and the product records used to answer it are processed automatically to produce the reply. If you attach a photograph, it is read to identify the equipment visible in it. Conversations of signed-in customers are saved to the account so they can be reopened; if you are not signed in, the conversation stays in your browser and is not stored on our servers (pre-contractual communication).
• Server logs: our hosting provider processes IP addresses and technical request data to deliver and secure the site (legitimate interest).
• Contact messages: name, contact details, and message content when you contact us (pre-contractual communication).

3. Cookies

This shop uses only technically necessary cookies (session, cart, and login cookies). We currently use no analytics, advertising, or tracking cookies.

4. Recipients and transfers

Data is stored with our EU-based hosting provider. Account and order data may be accessed by authorised personnel and service providers where necessary for order processing and account service. We do not sell personal data.

To answer a question put to the Linker Advisor, and to run the planning tools, we use the following specialised processors:

• DeepSeek (China): the text of your question, the earlier messages of the same conversation, and the product records used to answer it, to compose the reply.
• NVIDIA (United States): the text of your question, to find the matching documents; and any photograph you attach, to read the equipment visible in it.
• Our own sizing server (United States): the postcode, roof outline, and consumption figures you enter in the planning tools.
• European Commission VIES (EU): VAT IDs, for validation.

Your name, email address, and account identifier are not sent with Advisor messages. The transfers to DeepSeek, NVIDIA, and our sizing server leave the European Economic Area. If you would rather your question were not processed this way, write to us at the address above and a specialist will answer it directly.

5. Retention

Account data is kept for the life of the account. Order, invoice, and VAT-declaration records are kept for the statutory retention periods applicable to tax and commercial records (up to 10 years), then deleted.

Advisor conversations belonging to a signed-in account are kept until you delete them or newer conversations displace them; you can delete any conversation from the Advisor’s history. A photograph you attach is held on our server only for the analysis and is removed by a scheduled daily clean-up; the copy sent out for reading is deleted as soon as the reply arrives.

6. Your rights

Under the GDPR you can request access, rectification, erasure, restriction, portability, and object to processing based on legitimate interest, and you may lodge a complaint with a supervisory authority. Contact: linker01@de-linker.com.
